How a UAE Property Developer Made Leads, Brokers and Commission Easier with Odoo

For a developer selling off plan, the sale begins long before a contract exists. A lead comes in, a broker may be involved, a unit is promised and approvals follow. Al Jawad Software House shaped Odoo so that every lead has an owner, every unit has one live deal and commission is paid at the right moment.

The business

Off-plan units are sold by the developer's own team and by outside broker companies. The sales team juggles many leads at once, and a promise made to one buyer can block the same unit for another. When commission is involved, who brought the buyer matters as much as who signed.

Where the work gets hard

Leads go quiet. A lead needs a language, an owner and a time to respond. If anyone can change the owner, nobody can say who was responsible.

One unit, one buyer. A unit held for a prospect must not be sold twice, and a hold must end when the offer lapses.

Terms need sign-off. Price, discounts, payment plan and commissions sit in one document. The right people must approve it before the next step, and those people differ by document.

Commission has a trigger. A broker is owed commission only once the agreement is signed, and the payment has several steps of its own.

What we implemented

Leads that always have an owner

Leads are assigned through a guided step, not by editing a field. Every change of owner is kept in a permanent history. Unassigned leads can escalate by role when the response time passes, so none is left waiting.

Units held fairly

When Finance approves the buyer's payment proof on an offer, the unit is held for a set time and released automatically if the offer expires. Each unit can have only one live deal, and a dashboard shows which deal that is.

Life of a unit hold

Deal terms with review

One deal sheet records price, fees, payment plan and commissions. It passes Sales Director review, Accountant review and management approval, then drives the booking form and the statement of account. Receipts are matched to the oldest instalment first, and late payments climb from the salesperson to the Head of Sales to Finance.

Approvals set up without code

Approval steps can be configured for each company and each type of document, including offers, deal terms, booking forms, agreements, commissions and cancellations. A document cannot be confirmed until its approvals are complete, and each step reminds the next approver.

Commission at the right moment

Broker companies register with their documents. Their commission becomes eligible when the sale and purchase agreement is signed. The payment is then prepared, readied and collected, and each stage is visible.

From signature to commission

Cancellations that return the unit

A cancellation needs finance and management approval before the unit goes back into inventory.

How the work gets easier

The usual wayWith the new process
Leads are reassigned by whoever has accessReassignment goes through one step and leaves a record
Unassigned leads wait until someone noticesEscalation by role brings them back to a person
A unit is promised in conversationA unit is held after payment proof and one live deal is allowed
Approvals depend on who is availableEach document waits for its configured approvers
Commission is worked out case by caseCommission becomes eligible on signature and is tracked to collection
Late instalments are chased informallyLate payments move up a defined ladder

The result is a sales pipeline with fewer lost leads, fewer double promises and no doubt about when commission is due. Managers see where every deal stands.
