NORD Real Estate Development sells homes and commercial units before they are built. Money arrives in instalments over a long time, buyers sometimes change their minds, and agencies bring many of the buyers. Al Jawad Software House configured and extended Odoo around those three realities.
The business
A developer sells a unit for a price today and collects the money over months or years. Between deposit and keys, a unit can be paid in parts, cancelled or moved to another buyer. Each event touches finance.
Where the work gets hard
Every project pays differently. Instalments can fall on a booking date, a fixed date, some months after booking, at completion, at handover or after handover. Each one needs an invoice and a reminder.
Cancellations reach the accounts. A buyer may ask for a full refund, a partial refund or a move to another unit. Finance, management and operations each have a part, and the unit must not go back on sale too early.
Agencies need to be onboarded. An agency must send documents and sign a referral agreement before it can bring buyers. Chasing missing papers by email takes time.
Buyers must be known. Individuals and companies both need identity checks before a sale, and typing them in from attachments is slow.
What we implemented
Payment plans that become invoices
Plans are built from templates, with instalments tied to the trigger that suits the project. Odoo checks that the plan adds up to the price, and a wizard creates the instalments that fall after handover. When the deal is approved, Odoo prepares a draft invoice for each instalment, and the first one nets off the advance already paid. Finance reviews and posts them. Overdue payments are chased automatically. A statement of account shows each line as pending, part-paid or cleared, and exports to a spreadsheet.

Cancellations that follow the money
A cancellation request moves through finance review and management approval, then waits for the funds to be sent. Only then does it end with the unit back in inventory. A full refund raises credit notes automatically. A partial refund or a transfer to another unit creates a draft credit note for Finance. Each deal can have only one open cancellation, and the unit shows as under cancellation until Operations releases it.
Broker onboarding
Agencies register through a web form and upload their documents. Odoo reminds them of anything missing, and the team reviews the file before approval. Commission becomes payable once the sale and purchase agreement is signed, then moves from cheque prepared to ready to collected.

Buyer checks buyers can complete themselves
A buyer receives a link, completes the identity form for an individual or a company, and the team marks it verified or rejected. Nobody retypes the details.
How the work gets easier
| The usual way | With the new process |
|---|---|
| Finance builds an invoice list from the contract | Draft invoices appear for each instalment when the deal is approved |
| Late payers are found when someone checks | Overdue instalments are chased automatically |
| A refund is arranged outside the system | Credit notes and the refund payment follow the cancellation |
| A cancelled unit is released by message | The unit returns to inventory only when Operations confirms |
| Agency papers arrive by email and are chased by hand | Agencies upload documents and get reminders for what is missing |
| Buyer details are retyped from attachments | Buyers fill in their own form and staff verify it |
The result is a sales operation where money, contracts and unit status stay in step. Finance spends its time reviewing, not building lists.
